Front Desk Administrative Assistant (San Mateo Campus)

Position Overview 

Nueva seeks a self-starter that will act as our administrative assistant at one of our two entrances at our upper school campus located in San Mateo (Bay Meadows area). You will be responsible for interacting with and supporting all stakeholders, planning and executing annual student and faculty trips, comfortably communicating with visitors and vendors, and flawlessly handling time-sensitive and/or confidential details, questions and problems.

The ideal candidate will have experience working in a fast-paced environment, and is comfortable with some level of ambiguity and solving problems in collaboration with others.

This is a 10-month or 12-month role, and the hours are from 9:30am - 6:00pm.

General Responsibilities for Front Desk Administrative Assistant

  • Responsible for answering phones and receiving visitors. Welcome visitors with warmth and enthusiasm – be comfortable with lots of interruptions and juggling multiple conversations with visitors, callers, and email communicators simultaneously.
  • Ensure all team and community members have the tools and resources to be successful. Help people understand where they can find the items they need, and who to go to for their needs.
  • Support the Business Office, Executive Assistants, Division Assistants and Administrative Assistants with projects, and other needs of the school’s administrative office/leadership team.
  • Assist in event and annual student & faculty trip planning, coordination and execution.
  • Assist with other special projects and duties as delegated.

Position Qualifications

  • Bachelor degree or equivalent relevant administrative work experience.
  • Personable, positive, helpful personality; customer service mindset.
  • Detail oriented with excellent organizational skills.
  • Ability to solve problems with creativity, professionalism, tact and kindness.
  • Ability to manage and prioritize multiple responsibilities simultaneously.
  • Ability to manage competing demands, and adapt to frequent or unexpected changes.
  • Compassionate and empathetic.
  • Excellent oral and written communication skills.
  • Maturity, judgment, and emotional stability.
  • Trustworthy and loyal.  Demonstrated ability to maintain confidentiality.
  • Proactive and self-directed. 
  • Experience using multi-line phones, Google Suite, MS Office, online applications, hand-held radios, and general office equipment.
  • Prior school administration experience is a plus.
  • At least 2 years of Administrative Assistant experience is desired.
